Getting Started
Sign up for a free account, then follow the guided setup to create your organization. You can invite members immediately after setup is complete.
From your dashboard, go to Members > Invite. You can send email invitations or share a join link. Members create their own accounts and join your organization.
Yes! You can create or join multiple organizations with the same account. Switch between them using the organization selector in the top navigation.
GroupSmarter is built for community organizations like PTOs, sports boosters, HOAs, clubs, volunteer groups, and similar member-based organizations.
GroupSmarter is a web-based platform optimized for both desktop and mobile browsers. You can access all features from your phone's browser - no app download required. We're evaluating native mobile apps based on user feedback.
Setup takes about 10 minutes: create your account, name your organization, and start inviting members immediately. No complex setup or training required.
Pricing & Billing
Yes! Starter is free forever with unlimited members and 15 Paige assists per month. Organizations can complete Stripe-hosted payout setup on every tier. When someone pays by card, a card processing fee of 3.5% + $0.50 is added to their total and shown to them before they pay — your organization receives the full item or donation amount.
Yes, change plans anytime from Organization Settings. Upgrades take effect immediately. Downgrades take effect at the end of your current billing period.
We accept all major credit cards through Stripe.
We don't offer trials, but our Starter plan lets you experience the full platform free. When ready to grow, upgrading is instant.
You can't go over it. Once your organization reaches its plan's admin seat limit, the next admin assignment is blocked until you upgrade or change an existing admin back to a member. The Pro plan includes unlimited admin seats.
Card processing is 3.5% + $0.50, and it is the same on every plan — free or paid. It is added to the buyer’s total and shown to them as its own line before they pay, the way a card surcharge appears on a restaurant receipt. Your organization receives the full item or donation amount. On a $25 ticket the buyer pays $26.38 and your organization receives $25.00.
Not when a buyer simply changes their mind — the card networks charge us whether or not the sale sticks. If your organization cancels the event or the order, the fee is refunded to the buyer in full, funded from your organization’s balance. This is disclosed to buyers at checkout before they pay, so nobody is surprised later.
A dispute (also called a chargeback) is when a buyer asks their bank to reverse a payment. The disputed amount and Stripe’s $15 dispute fee are your organization’s responsibility and are recovered from your proceeds. Being straight with you about the sequence: Stripe debits GroupSmarter first, and we carry it until it is recovered from your organization. We notify your owner and administrators when a dispute opens, including the deadline to respond, and again before that deadline while you can still act on it.
Starter is free forever. Growth is $49/month and Pro is $99/month. Plans differ in admin seats, Paige assists, branding, and support — not in card processing, which is identical on every plan. Members are unlimited on all three.
Against Cheddar Up, the closest comparison for PTO and booster payments, GroupSmarter costs the buyer less at every basket size — including against Cheddar Up’s paid tier. On $10: $0.85 here vs $1.34 on their free tier and $0.95 on Cheddar Up Pro. On $25: $1.38 vs $1.94 and $1.49. On $100: $4.00 vs $4.90 and $4.18. Figures are card rates as of August 1, 2026, taken from cheddarup.com/pricing; both platforms also charge the buyer rather than deducting from the organization, so these compare like for like. Rates change — check their current pricing before making a decision.
No! Only admin seats (board members who manage the org) count toward your plan limit. Community members — volunteers, parents, general members — are always unlimited and free on every plan.
It depends on your plan: Starter gets 15 assists/month, Growth gets 500, and Pro gets 2,000. Each assist is one conversation with Paige — ask questions, draft communications, analyze your budget, and more. Assists reset monthly.

Paige can help draft communications, answer questions about your data, analyze budgets, suggest event improvements, and automate routine tasks across all modules.
Yes. Paige only accesses your organization's data and never shares it externally. All AI processing follows our strict privacy policy.
You can upgrade your plan for more assists, or wait until your monthly allowance resets. Core platform features continue working without Paige.
Trust & Security
Yes. Your data is encrypted with 256-bit AES encryption and stored on Amazon Web Services (AWS) infrastructure. Each organization's data is completely isolated - no one else can access it. Payment processing runs through Stripe's PCI-DSS Level 1 certified platform, the same security trusted by Amazon and Shopify. We never sell, share, or monetize your data.
Yes. Budget reports and forecasts export to CSV and PDF, and budget transactions export to CSV, from the Budget module. For a complete copy of your organization's data, see our Privacy Policy — it explains how to make a data request and how quickly we respond.
Only members you invite can see your organization's data. Admins control permission levels for different member roles.
Your data is stored on Amazon Web Services (AWS) servers in the United States with automatic daily backups. All data is encrypted both in transit (TLS 1.3) and at rest (256-bit AES). Our database uses row-level security to ensure complete isolation between organizations.
After cancellation, your data is deleted on the schedule set out in our Privacy Policy, which also covers backup and legal-retention periods. If you want a copy of your data first, make a data request before you cancel — our Privacy Policy explains how. We never hold your data hostage.
Yes. We follow GDPR best practices for all users, regardless of location. To request a copy of your data or ask us to delete it, follow the process in our Privacy Policy, which also sets out our response times.
